Trade Exhibition

General Information
The exhibition will be held in the ICC Berlin where the conference with all sessions also takes place. More than 2.500 m² net exhibition space will be available in the foyers and in an exhibitors' hall.

The exhibition will be open as follows:
 Sunday  03.08.2003  17.00 hrs - 19.00 hrs
 Monday  04.08.2003  09.00 hrs - 18.00 hrs
 Tuesday  05.08.2003  09.00 hrs - 18.00 hrs
 Wednesday  06.08.2003  09.00 hrs - 18.00 hrs
 
Build-up of shell scheme and self-built stands: *

Handing-over of shell scheme stands and furnishing: **

    * Exhibitors who have rented space and will build their own stand can start setting up on Saturday, 02.08.03, at 8.00 hrs in the morning. All noisy and rough work must be completed by Sunday, 8.00 hrs.

    ** Exhibitors who have ordered a Shell Scheme can take over their booth on Sunday, 03.08.03, between 8.00 and 10.00 hrs from TEM Festival GmbH and can furnish it until 17.00 hrs (Opening of the exhibition).

    *** All dismantling must be done directly after the last exhibition day, Wednesday, 06.08.03, 18.00 hrs and must be finished by Thursday, 07.08.03, 8.00 hrs.
Why exhibit?
Despite all the new communications technology, face-to-face is much the preferred and most successful way of doing business. No sales brochure can perform as well as personal contact and hands-on product demonstrations. In 2003 the best opportunity you will have to renew existing customer loyalty, reinforce your branding and reach entirely new global markets, will be at IFLA in Berlin. Your captive international audience will be senior librarians and information professionals from all over the world. They will come from national, regional and local authority libraries, blue chip corporations, major universities, institutions and medical libraries worldwide.

Who should exhibit?
The exhibition is open to all companies, governmental bodies and other organisations with products and services related to the library field such as:

Exhibition Stand Information
The exhibition space amounts to EUR 330.00 and includes:

  • a shell scheme "Octanorm" silver anodised aluminium with white back and side walls (100x200 cm²)
  • a company signboard with company name (20 letters in black)
  • 1 light rail with 2 spotlights per 6 m²
  • 1 triple socket
  • build-up and dismantling of the stand

There is also the possibility of ordering special shell scheme packages with additional furniture included.

The minimum booth size is 6 m².

You will also have the possibility to bring your own stand system and just rent the needed space. The price per m² will then be EUR 300.00.

Exhibitor badges
There will be 2 complimentary exhibitor badges per booth, which are valid from 3-6 August 2003 and give access to all sessions during this time (Open Sessions, Workshops, Opening of the Exhibition on Sunday, 3 August 2003 and Evening function on Monday, 4 August 2003). Additional exhibitor badges can be ordered at a rate of EUR 250.00.

Per additional 10 m², each exhibitor will get 1 additional complimentary badge for stand personnel valid for the exhibition only and of course for the opening of the exhibition on Sunday, 3 August 2003. Additional badges for stand personnel can be purchased at a rate of EUR 150.00.

Supplementary tickets for the Opening Party on Monday evening, 4 August 2003 are available for stand personnel at a rate of EUR 25.00.

What's special?
An Internet-Café with free Internet access will be available to all delegates and exhibitors throughout the conference.

An Online Message Centre offers the individual service of an internal message and information system for all delegates and exhibitors.

The Visitor Tracking System gives exhibitors the opportunity to collect data from every booth visitor through his chip card (name badge). That way a follow-up with the collected data can be processed immediately after the conference.

Floorplan
The floorplan of the ICC exhibition area indicates the floorspace which is still available.

Stand allocation
Space assignments will be made on a "first comes - first served basis" but in case of conflicting requests preference will be given to those exhibitors who sponsor the conference and those exhibitors with continuing participation in past years.

The final decision will be at the discretion of the IFLA 2003 Berlin National Organising Committee.

We kindly ask you to send us your application as soon as possible and no later than December 1st, 2002. For applications and choices received after that date the organizers reserve the right to allocate exhibitors to the most appropriate stands.

Company Presentations

Companies are invited to hold a presentation at the IFLA exhibition. For a fee of EUR 200.00 net an appropriate room will be available. Please find the application form in the Exhibitors' Manual or request it separately at K.I.T. GmbH (please see above).

Hotel Accommodation
A wide range of accommodation has been reserved and will be handled by K.I.T. GmbH. The accommodation ranges from 2 to 5 star hotels, priced from EUR 99.00 to EUR 211.00 per room and night including service charge, 16% German VAT and breakfast.

The exhibitor designated hotel is the Hotel Ibis Messe**. It is located opposite the ICC Berlin and offers 168 modern rooms, 84 of which are non-smoking. They are all equipped with shower/WC, direct dial phone, air conditioning, colour TV (satellite), radio, fax and modem connections.
